Administrative Assistant
We are in need of a highly organized and efficient Administrative Assistant to join our team in Braga, Portugal. As an Administrative Assistant, you will be responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate must have excellent communication skills, be able to multitask and prioritize tasks effectively, and have a strong attention to detail.
Responsibilities:
- Greet and assist visitors, answer and direct phone calls
- Maintain electronic and hard copy filing system
- Handle requests for information and data
- Prepare letters, memos, reports, presentations and other documents
- Receive and distribute mail and deliveries
- Schedule appointments and manage calendars
- Coordinate travel arrangements for staff
- Monitor office supplies inventory and place orders when necessary
- Assist with event planning and coordination
- Other administrative duties as assigned
Requirements:
- Proven experience as an administrative assistant or in a similar role
- Excellent communication skills (both written and verbal)
- Proficient in MS Office (Word, Excel, PowerPoint)
- Ability to prioritize tasks and manage time effectively
- Attention to detail with strong organizational skills
- Demonstrated ability to work independently as well as part of a team
- High School diploma or equivalent; additional qualification as an Office Administrator or Secretary is a plus
- Fluency in Portuguese is preferred but not required
