Office Assistant
We are in need of a skilled and dependable Office Assistant to join our team in Os, Japan. As an Office Assistant, you will be responsible for providing administrative and clerical support to ensure efficient operation of the office. Your main duties will include but not limited to answering phone calls, organizing and maintaining files, scheduling appointments and meetings, and assisting with general office tasks.
Responsibilities:
- Answer and direct phone calls in a polite and professional manner
- Organize and maintain physical and digital files
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Greet clients/suppliers/visitors as needed
- Provide general support to visitors
- Order office supplies when necessary
- Schedule appointments/meetings and maintain calendars
- Monitor level of supplies and handle shortages
- Resolve office-related malfunctions and respond to requests or issues in a timely manner
Requirements:
- Proven experience as an office assistant or in a similar role
- Proficient in MS Office (Word, Excel, PowerPoint)
- Excellent communication skills (verbal and written)
- Attention to detail with strong organizational skills
- Ability to multitask and prioritize work effectively
- High school diploma; additional qualification as an Administrative assistant or Secretary will be a plus
