Duties & Responsibilities:
• Prepare all technical submission/prequalification documents for tender submission to the client as per the client's requirements.
• Checking and dissemination of pertinent incoming and outgoing emails and faxes for the Management and other concerned
departments.
• Preparation of Tender Bond for the project bid.
• Preparation of advance payment Guarantee, performance bond, insurance and letter of credit for the awarded projects as per
instructed by the client.
• Coordinates with HR Department with regards to employees leave applications, passport arrangements and air ticket booking and
confirmation.
• Assist in updating the total manpower data for use as reference by HR and Admin Department.
• In-charge of monitoring the availability of office supplies and other materials in the all Departments.
• Provides over-all assistance to project manager’s needs.
• Updating of all awarded projects’ records and files and related bank communications and documents.
• Dealing with the suppliers for the office stationery items.
• Prepares the Salary sheets for the Employee (Site workers)
• Assist in updating of Monthly progress report, Minutes of the meeting and weekly reports of all existing projects.
• Monitors and on-hand supervision of filing and storekeeping of documents and drawings.
• Coordinates the preparation of Gate passes and other site request.
• Collection of all delivery notes from all different suppliers.

• Makes and receive Telephone calls and faxes and takes the message for the required person and for the staffs.
• Prepares memos and sends and correspondence to the clients, consultants and interior office departments.
• Receives and distributes incoming documents and ensures proper circulation of documents and correspondence to other
departments including Accounts and finance, construction, Engineering, planning and Cost control, Electrical, Mechanical,
personal, and Procurement division.
• Schedules and appointment for the persons of firm or Company with Clients, Consultants, suppliers and Sub- contractors.

• Coordinates to the documents and officer for the distribution of documents and correspondence to the General Manager.

• Keeps the record for Invoices receives from the suppliers and distributes to the concern Engineers for the approval.
• Prepare the letters and send reply to the Clients, Consultants, Sub-Contractor and suppliers as per the Engineers draft letter.
