March 2023 Up to Present Vanguard Electronics LLC Administrative Coordinator (Hr Assistant, Executive Assistant & E Commerce Data Entry) Executive Secretary: - Greet and assist visitors and guests from abroad and arrange anything needed accordingly - Filing and retrieving Mr. Fahad and higher management records, documents, and reports including the personal information and data when needed - Filing and updating all company related docs such as Trade License, Ejari, etc. Make sure to monitor expiration of each documents - Performing office duties that include ordering supplies and managing records database - Check the physical condition of the office if it needs any maintenance or repairs in specific area - Calculation of Salik of the Higher Management (Quarterly Basis) and request for re-imbursement from Finance Department - Cheque Deposits related to the Company and Higher Management Hr Assistant: - Assist in scanning and archiving staff hard and soft documents and information based on the filing system (passport, visa, labor card, etc.) - Preparing and distributing emails, correspondence, announcement and memorandum Involved in recruiting, such as advertising open positions, screening and recommending candidates for interviews - Compose and send Job Offer to newly hired employees as per Management - Supporting the PRO in preparing the required documents for new applications, renewals, cancellation as well as other government / labor related works - Responsible for all transactional activities of the employee such as Annual, Sick Leave and Absences. Preparation of HR related report to be sent to Hr Manager - Monitor employees air ticket allowance and coordinate with Finance Team for encashment - Handle Health and Life Insurance Policies (Renewal and Comparison of Policies, etc.) - Assisting the Finance Department when required for specific bill payments such as Payroll, Air Ticket Allowance, Loan and other employees benefits - Process employee’s payroll thru WPS. Ensure strict confidentiality related to employee's documents and salary E - Commerce Data Entry - Update the Stock Report on a daily basis on the Website May 2019 – January 2023 Staylite Hotel Admin (Accounting/Auditing/Cost Control/HR Staff) Ilocos Sur, Philippines - Handling disbursement documents - Liquidating date entry - Auditing sales report - Cost controlling - Making monthly inventory of stocks - Handling HR reports - Handling confidential reports - Maintaining guest confidentially documents - Relieving and supervising guest service agent workflows - Handling guest concerns
