Office Assistant
The Office Assistant will provide administrative and clerical support to ensure efficient operation of the office. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This position requires excellent communication skills, attention to detail, and the ability to prioritize and multitask. The Office Assistant will report directly to the Office Manager and will assist in handling day-to-day office tasks.
Responsibilities:
- Greet and assist visitors and clients in a professional manner
- Answer phone calls, take messages, and redirect calls when necessary
- Manage incoming and outgoing mail, including sorting, distributing, and preparing for shipment
- Maintain office supplies inventory by checking stock levels and ordering supplies as needed
- Handle data entry tasks and file documents accurately
- Schedule appointments, meetings, and make necessary arrangements
- Assist in organizing company events or meetings
- Perform general administrative duties such as photocopying, scanning, faxing, etc.
- Assist in coordinating travel arrangements for staff members
Requirements:
- High School Diploma or equivalent; additional qualifications as an Administrative assistant or Secretary are a plus
- Proven experience as an office assistant or other relevant administrative positions
- Knowledge of office management systems and procedures
- Excellent time management skills with the ability to prioritize tasks effectively
- Strong communication skills (both written and verbal)
- Proficiency in MS Office (Word, Excel) is required; knowledge of Quickbooks is a plus
- Attention to detail and problem-solving skills are essential
- Must be able to work well independently as well as part of a team
