Job Title: Administrative Assistant in Funchal, Portugal
As an Administrative Assistant in our office in Funchal, Portugal, you will play a crucial role in supporting the smooth operation of our company. You will be responsible for handling a variety of administrative tasks and providing assistance to our team.
Responsibilities:
- Greet and assist visitors and clients
- Answer and direct phone calls
- Organize and schedule appointments
- Prepare and distribute correspondence, memos, and reports
- Maintain office supplies inventory by checking stock levels and ordering supplies as needed
- Handle incoming and outgoing mail
- Keep track of office expenses and manage invoices
- Assist with travel arrangements for employees
- Help with organizing company events or meetings
- Perform general clerical duties such as data entry, filing, and photocopying
Requirements:
- High school diploma or equivalent; additional qualifications as an Administrative assistant or Secretary are a plus
- Proven experience as an administrative assistant or similar role is preferred but not required
- Fluent in English (verbal and written)
- Excellent communication skills with a friendly demeanor
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Ability to multitask and prioritize tasks effectively
- Strong attention to detail with exceptional organizational skills
