Administrative Assistant - Indian Nationals (Umm-Said, Qatar)
We are currently seeking an experienced and organized Administrative Assistant to join our team at our office in Umm-Said, Qatar. This position is open exclusively to Indian nationals who are proficient in English and looking for job opportunities in a non-English speaking environment.
As an Administrative Assistant, you will be responsible for providing support to our team of managers and executives. Your main duties will include managing schedules, organizing meetings and events, handling incoming and outgoing correspondence, and maintaining records and databases. You will also be expected to handle administrative tasks such as filing, data entry, and drafting correspondence.
To excel in this role, you must have strong organizational skills and the ability to multitask effectively. You should be able to work independently as well as part of a team, with excellent communication skills to ensure smooth coordination between various departments. A high level of attention to detail is crucial for this position as you will be responsible for ensuring accuracy in all tasks performed.
Key Responsibilities:
- Manage calendars and schedule appointments for managers and executives
- Coordinate meetings and events by sending out invites, booking venues, arranging catering, etc.
- Prepare agendas and take minutes during meetings
- Handle incoming calls, emails, and other forms of correspondence
- Maintain physical and electronic records by organizing files and updating databases
- Perform data entry tasks accurately and efficiently
- Draft letters, memos or reports as requested by managers or executives
- Assist with travel arrangements for employees including booking flights, accommodation etc.
- Monitor office supplies inventory levels and reorder when necessary
Requirements:
- Indian Nationality - this position is open exclusively to Indian nationals due to language requirements within the office environment.
- Proficient in English - while English is not required for this job role specifically, since you will be working in a non-native English speaking environment it is important that you are able to communicate effectively in English.
- Proven work experience as an Administrative Assistant, Executive Assistant or similar role
- Strong organizational and multitasking skills
- Proficient in MS Office (Word, Excel, PowerPoint)
- Excellent communication skills, both written and verbal
- High level of attention to detail and accuracy
- Ability to work independently and as part of a team
- Strong problem-solving skills and ability to prioritize tasks effectively
