Job Description
We are seeking an experienced, motivated, and organized Secretary to join our team. As a Secretary, you will provide administrative support to the office staff and work closely with management to ensure that all tasks are completed efficiently and in a timely manner. Your duties will include managing calendars, organizing meetings and events, handling correspondence, processing paperwork, and coordinating travel arrangements. The ideal candidate should have excellent organizational skills and be able to multi-task with ease.
Duties & Responsibilities
• Manage calendars and coordinate meetings/events for staff members
• Handle incoming calls/inquiries in a polite and friendly manner
• Draft emails/letters or other communication materials as needed
• Prepare agendas for meetings/events; take minutes of meetings when requested
• File paperwork; maintain records of office activities
• Update contact databases; manage both digital and physical files
• Process invoices; follow up on payments when necessary
• Make travel arrangements for staff members as requested
• Liaise with other departments/teams to ensure smooth operations
• Perform administrative tasks as needed (e.g., photocopying)
Qualifications & Requirements:
• Proven experience as a Secretary or similar administrative role
• Working knowledge of office equipment (e.g., fax machines and printers)
• Excellent organizational skills; ability to multi-task with ease
• Proficient in MS Office Suite (Word, Excel, PowerPoint)
• Excellent verbal communication skills; able to communicate effectively both verbally and in writing
• Ability to maintain confidentiality of sensitive information
• Minimum 2 years of relevant work experience preferred
• Willingness to consider an immigrant is desirable
